Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team in Columbia, South Carolina. This Contract-to-permanent position offers the opportunity to support a dynamic university environment by managing daily administrative tasks, maintaining records, and ensuring smooth communication across departments. The ideal candidate will possess excellent organizational skills and the ability to handle sensitive information with professionalism. Responsibilities: • Serve as the primary point of contact for visitors, including administrators, faculty, students, and members of the public, offering assistance or directing inquiries to appropriate staff. • Coordinate and manage meetings, appointments, and conferences by preparing agendas, arranging facilities, and compiling necessary materials; take and distribute meeting minutes as required. • Maintain and update data in designated computer systems, ensuring accuracy and creating reports, spreadsheets, and automated records as needed. • Perform clerical accounting tasks such as preparing and verifying budgetary data, processing accounts for income and expenditures, and managing purchase requisitions. • Monitor and replenish office and departmental supplies by tracking inventory levels, processing requisitions, and ensuring timely restocking. • Ensure confidentiality of sensitive information by adhering to established protocols and maintaining secure communication practices. • Draft, edit, and proofread business letters, reports, and other written communications to ensure clarity and professionalism. • Organize and maintain records and filing systems for easy retrieval and compliance with organizational standards. • Facilitate the flow of communication within the department, managing correspondence and ensuring timely responses to inquiries. Requirements **Must have Bachelors Degree • Proficiency in answering inbound and outbound calls, as well as managing email correspondence. • Strong skills in data entry and maintaining accurate records. • Familiarity with scheduling appointments and coordinating calendars. • Competence in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Exceptional verbal and written communication skills, with attention to grammar, spelling, and punctuation. • Ability to collect, organize, and analyze data to produce meaningful reports. • Capable of meeting deadlines and working independently with minimal supervision. • Experience in providing excellent customer service and managing multiple priorities effectively.
