Key Responsibilities:
Administrative Support:
+ Manage schedules, organize meetings, and coordinate appointments.
+ Prepare, proof, and distribute emails, reports, and other documents.
+ Perform general office duties, including managing incoming correspondence, filing, and record-keeping.
Client & Stakeholder Interaction:
+ Serve as the first point of contact for clients, answering phones, addressing inquiries, and routing communications.
+ Support client onboarding processes by maintaining accurate records and assisting with documentation.
Office Operations:
+ Order and maintain office supplies to ensure uninterrupted workflow.
+ Assist with travel arrangements, scheduling, and expense tracking.
+ Proactively identify and resolve administrative issues.
Data Management:
+ Maintain and update databases with a high level of accuracy and confidentiality.
+ Assist in the preparation and handling of financial and client-related documents.
Requirements
Qualifications & Skills Required:
+ Education: High school diploma or equivalent required; associate degree or higher preferred.
+ Experience: Minimum of 2 years of administrative experience, ideally within financial services or a professional office setting.
+ Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of financial software or CRM tools is a bonus.
+ Communication: Excellent written and verbal communication skills, with a professional and client-friendly demeanor.
+ Attention to Detail: Strong organizational skills and ability to handle sensitive information with discretion.
+ Local Residency: Preference will be given to candidates currently residing in Hawaii.
