We are seeking a highly organized and proactive Administrative Assistant to provide administrative and clerical support to our project teams. This role will work closely with departments such as Operations, Project Administration, Accounting, and Human Resources, ensuring smooth information flow and compliance with internal processes.
Key Responsibilities:Answer phone calls and emails promptly and professionally.
Perform general office tasks including filing, data entry, drafting documents, and meeting coordination.
Assist in preparing project documentation (submittals, RFIs, change orders, reports, etc.).
Review and proofread documents to ensure accuracy, clarity, and compliance with company standards.
Request and follow up on purchase orders, invoices, and subcontractor agreements.
Support logistics and tracking of materials and equipment for projects.
Facilitate communication and document sharing between departments such as Accounting and HR.
Job Requirements:Associate degree or Bachelor’s degree required.
Minimum of 3 years of administrative experience.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Familiarity with Sage 300 and PROCORE is a plus.
Fully bilingual (Spanish and English, written and verbal).
Strong organizational, communication, and time management skills.
Previous experience in the construction industry is a plus.
Additional Conditions:Must be available for occasional overtime and weekend work depending on project needs.
Willingness to travel to different job sites locally as required.
