Administrative Assistant
Description We are looking for a detail-oriented and proactive Administrative Assistant to join our team on a Contract to permanent basis. This role supports the daily operations of our non-profit organization in Honolulu, Hawaii, by providing vital administrative and organizational assistance. Responsibilities: • Coordinate and maintain office and program supplies to ensure smooth daily operations. • Assist with event planning tasks, including securing venues, arranging catering, and procuring necessary materials. • Manage organizational calendars, aggregate training schedules, and connect member programs with relevant opportunities. • Respond to inquiries from the public and member agencies, directing them to appropriate team members as needed. • Update and maintain website content, event listings, and organizational databases. • Collect and share resources from partners, funders, and allied organizations to support the mission. • Organize and schedule meetings, prepare necessary materials, and follow up on action items. • Handle course and training event inquiries, including processing enrollments and addressing participant questions. • Provide administrative support for membership renewals, mail distribution, and daily operational tasks. • Manage the Executive Director’s calendar and assist with grant preparation and correspondence as needed. Requirements • Minimum of 2 years of experience in an administrative or similar role. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite. • Strong written and verbal communication skills, with the ability to handle customer inquiries professionally. • Experience with tools such as Zoom, Dropbox, and WordPress, or a willingness to learn new technologies. • Exceptional organizational and multitasking skills, with attention to detail. • Ability to work both independently and collaboratively within a team. • Commitment to the mission and values of a non-profit organization. • Familiarity with scheduling appointments, managing email correspondence, and data entry.
