Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in San Francisco, California. This role involves supporting various housing programs and administrative functions to ensure smooth operations and excellent tenant services. The ideal candidate will bring strong organizational skills, proficiency in office software, and a commitment to delivering high-quality assistance. Responsibilities: • Facilitate interim and annual recertifications for housing sites, including mailing notices, tracking completions, calculating rent adjustments, and maintaining accurate database records. • Prepare and manage correspondence related to annual recertifications for specific housing properties, ensuring timely completion. • Assist with housing lotteries and lease-up processes by organizing documentation and coordinating activities. • Draft and edit documents, create reports, and handle administrative tasks such as photocopying, faxing, filing, and sorting checks. • Support housing programs by efficiently managing tasks related to Check Day, Quick Check, and rental payment periods, ensuring effective service delivery to tenants. • Respond to inbound calls and provide excellent customer service to tenants and clients. • Coordinate schedules and appointments to optimize time management and resource allocation. • Perform data entry and maintain accurate records for various housing-related processes. • Manage email correspondence and address inquiries promptly and professionally. Requirements • Proven experience in administrative support roles, preferably within housing or property management. • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. • Strong communication skills, both written and verbal, with the ability to interact effectively with diverse groups. • Exceptional organizational abilities and attention to detail. • Demonstrated ability to handle multiple tasks and prioritize workload efficiently. • Experience in customer service, including answering inbound and outbound calls. • Familiarity with scheduling appointments and managing calendars. • Ability to maintain confidentiality and handle sensitive information appropriately.
