This role serves as a key point of contact, responding to information requests and helping to schedule and prepare for literacy meetings and events. The Administrative Assistant 4 will also compile reports, prepare meeting materials, track contracts, monitor expenditures, and assist with special projects that support the division’s goals. Preferred Experience: + Strong attention to detail + Proficiency in Google Workspace (Docs, Sheets, Slides, and Drive) + Excellent written communication skills + Initiative and ownership of tasks and workstreams + Flexibility and adaptability in response to changing priorities + Strong organizational and time management skills + Ability to manage multiple tasks and deadlines simultaneously + Experience with scheduling and coordinating meetings or events + Comfortable compiling and synthesizing information from multiple sources + Ability to work both independently and collaboratively + Familiarity with budget tracking or contract processing is a plus + Discretion when handling sensitive or confidential information + Ability to adjust plans, expectations, and behaviors in response to change Minimum Qualifications Three years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Duties and Other Information Job Duties: The Administrative Assistant 4 in the Division of Literacy will: + Respond to requests for information, including emails received in division inboxes. + Manage scheduling requests and coordinates calendars. + Serve as a liaison between the supervisor and internal staff members. + Compile and type special reports by gathering relevant information from reports, documents, correspondence, and electronic files. + Secure and/or prepare meeting locations for various literacy-related events. + Prepare materials for meetings, including agendas, handouts, and binders. + May attend meetings and transcribe minutes as needed. + May draft contracts, obtain necessary signatures, and track contracts through the approval process. + Monitor expenditures and ensure compliance with budgetary guidelines and policies. + Assist in implementing special projects aligned with the goals of the Division of Literacy. + Performs other duties as assigned by the supervisor and/or Deputy Superintendent of Teaching and Learning. Position-Specific Details: Appointment Type: This is apart-time positionand isnoteligible for benefits or paid holidays, andhas a limitto the number of hours worked (maximum of 1245 hours) in a 12 month period, beginning with the first day of employment.
