Job Focus Area
The Administrative Assistant 4 position in the Division of Nutrition Support serves as a confidential and highly skilled administrative professional supporting the Director of the Division. The role is integral to the success of the division, requiring exceptional organizational, communication, and problem-solving skills. Additionally, the role includes office management responsibilities such as maintaining time and attendance records, overseeing equipment inventory, processing procurement transactions, and onboarding new team members. The opportunity is unique as it supports critical programs like the National School Lunch Program, Summer Food Service Program, and Child and Adult Care Food Program. The position offers the chance to work in a dynamic environment, interact with diverse stakeholders, and play a pivotal role in advancing the mission of the Division of Nutrition Support.
Preferred Experience:
Strong organizational, communication and administrative skills; ability to work independently and manage multiple tasks effectively; proficient in Microsoft programs, Google, and ability to learn other technologies quickly.

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
As an Administrative Assistant, you'll help create a positive first impression for internal and external stakeholders. In this role, you will:
+ Relieves the Division Director of a variety of administrative tasks.
+ Assists with preparation for meetings, such as securing location, copying agendas and handouts, mailings, etc.
+ Answers questions regarding the Division of Nutrition Support programs and activities, as well as Department policies, procedures, and services.
+ Maintains time and attendance records for Division staff.
+ Processes all procurement and purchasing transactions for the office.
+ Answers, screens, and directs telephone calls/takes messages for staff.
Position-Specific Details:
Appointment Type: Probational, Promotional, or Job Appointment. The person hired for this position is expected to regularly report to the Baton Rouge office. Current permanent classified state employees may be required to accept a probationary appointment, if selected.
Career Progression: This position does not participate in a Career Progression Group.
Work Schedule: Work hours are Monday - Friday. Work hours will be determined.
Compensation: The salary offered will be determined based on qualifications and experience.
