The Idaho Bureau of Laboratories is seeking to fill a full-time permanent position forAdministrative Assistant 1inBoise.We are seeking a candidate who excels in a fast-paced team environment and can balance a workload while coordinating multiple priorities. This position requires excellent customer service and public relations skills, including greeting visitors, answering phones, and screening callers for further access to staff. High competency in Microsoft Excel and the suite of Microsoft Office products is necessary for this position. The incumbent will answer questions, troubleshoot, and refer incoming telephone calls to appropriate areas. This role processes and tracks invoices and payments, and will also interact with the financial unit to ensure fidelity to accounting procedures. The ideal candidate will have experience using the MS Office suite of applications, an enthusiasm for learning, and a willingness to contribute to program workflow improvements.
This position is not eligible for telework.

EXAMPLE OF DUTIES:
+ Perform a wide variety of secretarial functions and coordinate some non-routine secretarial and clerical activities.
+ Compose letters, correspondence, and memos requiring independent judgment as to content.
+ Compile and analyze information from a variety of sources to prepare reports.
+ Utilize a variety of software programs including Microsoft Office and SharePoint to create, process, and maintain a variety of documents and administrative records containing technical information and difficult formats.
+ Schedule and coordinate arrangements for meetings and conferences.
+ Act as a liaison between the organizational unit and external customers.
+ Respond to inquiries and explain department services, policies, procedures, and rationale for decisions to customers.
+ Manage office supply inventory and place orders for supplies on behalf of facilities staff and scientific staff.
+ Monitor budgets and prepare financial transactions.
MINIMUM QUALIFICATIONS:
You must possess all the minimum qualifications below to pass the exam for this position. + Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception.
+ Good knowledge of gathering and compiling data.
+ Good knowledge of balancing and coordinating a workload for multiple projects.
To meet these minimum qualifications, you must have the following:
+ One year of work experience performing a wide variety of office support functions as the predominant responsibility of the job; OR successful completion of the core requirements for an Associate (A.A.) degree in an office administration course of study or equivalent.
+ At least 6 months of work experience with responsibility for answering business phones, greeting visitors, AND screening callers for further access to staff.
+ At least 1 year of work experience gathering information from a variety of sources to collect and compile requested information and requires a good knowledge of services, operations, or programs.
+ At least 1 year of office work experience which require balancing, coordinating, and setting priorities for multiple projects with varying deadlines, or for multiple supervisors.
+ At least 1 year of office experience using word processing software to format a variety of business documents; OR recent word processing training coupled with at least 6 months’ experience performing word processing in a business office setting.
+ At least 1 year of office experience which required composing and editing a variety of business documents on a regular basis; OR successfully completed at least 1 college-level English composition or business English class AND have 6 months of experience composing business documents.
Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.
+ Demonstrated computer technology software experience.Typically gained by working with a variety of computer software, such as SharePoint, Microsoft Excel, Microsoft Word, etc. Please make sure your resume reflects this experience.
+ Six months of demonstrated experience working with general accounting and budgeting procedures.Typically gained by working in an office setting in a position providing fiscal support. Please make sure your resume reflects this experience.
+ Some knowledge of Microsoft Word and Excel.Typically gained by at least one year working with them in an office or academic setting.
+ Ability to type at the rate of 45-60 words per minute.
