Essential Responsibilities:
Responsible for supporting Finance with the weekly cheque run for the region, including sorting and distributing cheques and coordinating with signing officers to ensure all cheques are handled in accordance with established guidelinesAdministers multiple mobility accounts to support operations and shared services including purchasing hardware, monitoring usage and addressing overagesAssists administrative teams with managing records archived at third-party warehousing facilities to ensure compliance with company guidelinesProvide relief coverage for Office Services and Facilities team roles as such as sorting and distributing mail, managing courier deliveries, maintaining office supply inventory, assisting with reception duties, handling minor maintenance requests, and providing accounting support for vendor paymentsLiaises with Office Services to provide support for internal, employee-focused eventsSupport tasks may include coordinating event logistics, assisting with event setup and takedown, arranging catering, managing fundraising sales, administering auctions, tracking participation, and helping with communications and reportingQualifications:
Minimum of two years’ administrative experienceStrong customer service background in a professional office environmentSkilled in data entry, reporting, filing, scheduling, and general office communicationsExperience coordinating with contractors, suppliers, and internal departmentsAdvanced proficiency in MS Office with the ability to learn new systems quicklyStrong multitasking and prioritization skills in fast-paced settingsEffective problem-solving abilities with a solutions-focused mindsetExcellent verbal and written communication skillsHighly organized with strong attention to detail and deadline awarenessTeam-oriented, self-motivated, and able to work collaboratively with othersWorking Conditions:
