JOB SUMMARY
The purpose of this position is to provide administrative support services including but not limited to: managing calendars; meeting arrangements; expense reports; travel; correspondence creation and distribution; maintaining files and records; distributing mail; ordering supplies and equipment, etc. This position will also be responsible for providing assistance in other areas as needed or directed by management.
JOB RESPONSIBILITIES
• Acts as liaison between executives, staff, clients and customers to gather and prepare information for executive’s review and presentation.
• Maintains computer files and logs of various types and prepares spreadsheets as necessary.
• Develops and prepares communications such as letters, memorandums, agendas, reports, meetings notes, etc., and distributes as appropriate.
• Coordinates scheduling of appointments, conferences, luncheons, dinners, receptions, special events, business trips, etc.
• Communicates with outside vendors, clients, and visitors as necessary.
• Manages projects assigned by supervisor.
• Purchases all office supplies, equipment, and furnishings.
• Distributes incoming mail and packages and maintains general filing system.
• Performs related clerical work as required.
Job Qualifications
• High School Diploma or equivalent required.
• Ability to communicate effectively using verbal and written channels
• Strong organizational skills and attention to detail
• Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint)
• Excellent telephone etiquette
• Strong interpersonal skills and ability to interact professionally with both internal and external clients
• Proficient keyboarding skills at 40 wpm with excellent grammar, spelling, and punctuation skills
• Strong organizational skills and time management skills.
• Excellent customer service skills.
