Administration Specialist 

 

As an Administration Specialist, you play a vital role in ensuring smooth operations within the company. You are responsible for providing comprehensive administrative support across various departments, maintaining efficiency and organization. Your work contributes significantly to the seamless functioning of the office environment, supporting the Country Platform, handling workflow processes, and assisting with accounting and general tasks. You are an essential part of the team, substituting for colleagues when necessary and ensuring all duties are covered during standard office hours.

 

Your Tasks & Responsibilities:

 

Substitute colleagues in their tasks to ensure continuous coverage during operating hours;Provide administrative support for the Country Platform, including creating Shopping Carts in Smart Buy, processing orders, and managing vendor master data;Handle SIM card agendas for the entire company and manage reservations for tools, meeting rooms, parking, taxis, and hotels;Prepare meeting rooms and organize events, ensuring all logistical details are managed efficiently;Process Workflow and Posting Assistant (WPA) requests, including cost allocation and system uploads;Communicate with HR and suppliers, prepare documents for substitute fulfillment, and manage calendar purchases;Support accounting processes by registering, scanning, and uploading incoming invoices into SAP;Operate the switchboard, manage visitor interactions, and ensure the orderly handling of mail and courier services.

Who You Are:

Bayer seeks an incumbent who possesses the following:

 

Strong organizational skills with the ability to multitask and prioritize effectively;Excellent communication and interpersonal skills, capable of interacting with various departments and external partners;English Language Profiency at least at a B2 level;Proficiency in using administrative tools and software, including SAP, Smart Buy, and other relevant platforms;Experience in event organization and logistics management;Ability to work independently and as part of a team, demonstrating flexibility and adaptability.Detail-oriented with a commitment to maintaining high standards of work;Previous experience in an administrative role is preferred, along with familiarity with office operations and procedures.

 

Please note that this is meant as a Maternity Leave coverage, therefore contract will be offered for a limited time.
