Job Description 

Location: Warsaw (our office is located in the Warsaw Spire office building) 

Operating model: Hybrid work (2 days a week in the office) 

Type of contract: contract of employment 

We are looking for Administration Analyst with German

For our expanding Warsaw-based CMG (Capital Market Group) business line we are looking for you as Administration Analyst. 

You will be part of a collaborative international support team that enables the success of JLL’s Retail Leasing business across Germany. 

 

What this job involves: 

 

Process purchase orders and supplier setup by creating reference codes, managing onboarding forms, and coordinating with Accounts Payable for timely processing. 

Maintain client databases by updating contact information, tracking interactions, and ensuring data accuracy in internal systems. 

Coordinate offer distribution by processing broker requests, distributing property offers to recipients, and managing communication workflows. 

Prepare business documents including agreements, NDAs, and contracts using broker specifications and maintaining accuracy standards. Data processing, creation of presentations (PowerPoint). 

Process invoicing and expenses by setting fees, managing client billing, and coordinating approval workflows with brokers and clients. 

Provide administrative support by filing correspondence, documenting interactions, and handling ad-hoc requests from team members. 

 

Desired skills and experience for this job 

Languages: German and English at minimum B2 level

Organizational skills: Excellent organization, time management, prioritization and multitasking abilities

Technical proficiency: Strong command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)

Communication: Strong interpersonal and communication skills (written and verbal)

Work approach: Ability to work at fast pace, independently and collaboratively, with proactive attitude and initiative

Knowledge of the real estate industry is a plus.
