Job Description

-Registers and ensures that samples received are with proper documentation into in-house sample and test database in accordance with SOP (Standard Operating Procedures) within pre-determined lead time

-Reports discrepancies on the documents and reports received from actual sample and sample submission forms

-Prepare and dispatch samples to subcontractors and inter-laboratories, ensuring accurate labeling, complete documentation, and full traceability.

-Liaise closely and coordinate with the Lab and Site Teams to ensure reports are issued according to the agreed timeline.

-Prepares forms and reports test reports using test results from testing sections for signatory approval using in-house software according to test method and/or customer requirements.

-Liaises with customers on sample and reporting aspects including enquiries

-Prepare invoices for customers and upload them to the required portal, and email reports and invoices to customers in a timely and accurate manner.

-File, scan, and maintain test reports, ensuring all documentation is accurate, orderly, and properly archived in accordance with company procedures.

-Receive, sort, and distribute daily mail, ensuring timely and accurate delivery to the appropriate recipients

-Follow up on the monthly sampling schedule according to customer requests, ensuring all samples are collected and processed on time.

-Handle purchasing activities with local and overseas suppliers, including order coordination, sourcing, and supplier communication

-Prepare purchase orders and quotations, and monitor supplier performance and deliveries to ensure timely and accurate fulfillment.

-Perform Goods Received Notes (GRN) entries in the system.

-Establish and maintain a database of purchasing cost information for reference, reporting, and analysis

- Other ad hoc duties as and when required.
 

Qualifications

- Minimum with diploma in Business Administration or equivalent related qualification.

- Proficiency with Microsft Office ( Eg. Microsoft Words and Excel)

- Organized, detail-oriented and able to work independently. 

- Proficient in written and spoken English
