Job Description
The Admin Associate provides essential administrative support with a focus on data entry, inventory and asset management, and audit readiness. This role requires strong customer service skills, daily collaboration with management and supervisors, and the ability to quickly learn and use a computerized maintenance management system (CMMS). The Admin Associate helps ensure accurate records, smooth facility operations, and a professional, responsive experience for internal stakeholders.
Responsibilities
+ Learn and effectively use the organization’s computerized maintenance management system (CMMS) to support day-to-day operations.
+ Perform accurate and timely data entry to maintain up-to-date records within the CMMS and other administrative systems.
+ Support inventory and asset management activities by tracking assets, updating records, and helping maintain accurate inventory levels.
+ Assist with audit-ready preparation by organizing documentation, verifying data accuracy, and maintaining orderly records.
+ Provide administrative support to facility management, including organizing information, preparing basic reports, and handling routine documentation.
+ Interact daily with management and supervisors to gather information, clarify requirements, and provide updates on administrative and facility-related tasks.
+ Deliver professional customer service to internal stakeholders by responding to inquiries, providing information, and directing requests appropriately.
+ Apply basic data analysis skills to review information, identify discrepancies, and support decision-making for facility and asset management.
+ Collaborate with colleagues to improve administrative processes and support a smooth, efficient office environment.
Essential Skills
+ 1–2 years of experience in an administrative support, customer service, or related role.
+ Ability to learn and use a computerized maintenance management system (CMMS).
+ Proficiency in data entry with strong attention to detail and accuracy.
+ Experience or familiarity with inventory and asset management processes.
+ Basic data analysis skills to review and interpret information and identify issues.
+ Facility management experience or exposure to facility operations.
+ Excellent verbal communication skills for clear, professional interactions with management, supervisors, and colleagues.
+ Excellent written communication skills for accurate documentation and correspondence.
+ High school diploma.
+ General office skills, including comfort working with standard office tools and systems.

Work Environment

The position includes frequent collaboration with management, supervisors, and internal stakeholders during standard business hours. This is a Contract position based out of Stratford, CT.
Pay and Benefits
The pay range for this position is $18.00 - $19.00/hr.
