We learn, grow, and achieve more – in our careers and in our communities. **Job Description Summary:** The Administrative Assistant provides advanced administrative support to a Director or Vice President, requiring broad experience, strong administrative support skills and thorough knowledge of a variety of software programs and organization policies and practices. The successful candidate will show initiative, use good judgment, and exhibit a professional presence while consistently multitasking and prioritizing. the Administrative Assistant performs a variety of duties to assist leadership in making each department function successfully. **Responsibilities And Duties:** Performs administrative secretarial duties and project support that includes the following duties: 40% Administrative Duties: Maintains calendars, travel schedules, opens and distributes mail; prepares basic information for inclusion in reports or presentation materials; creates forms, documents, worksheets; prepares meeting agendas/minutes, coordinates catering, equipment for meetings; performs duties to support the efficient management of Executive/Manager's time, faxes, scans and photocopies. 30% Communication Duties: Handles routine correspondence; answers phones and screens callers; acts as liaison and resource person for outside vendors, interdepartmental suppliers and internal staff; responds to information requests. 10% Office Operational Duties: May maintain/process time sheets/payroll; facilitate expense reimbursements, may order, track inventory and expenses for office supplies and equipment; maintain executive's filing system. 15% Program/Process Coordination: Administer or coordinate programs or processes specific to the operating unit served on a day-to-day basis; assist with special projects (i.e budgeting preparation, surveys, quality improvement, Joint Commission Accreditation, physician credentialing duties, etc. 5% Miscellaneous Other Duties: Seek opportunity to attend in-service education, seminars and other continuing education; miscellaneous other duties as requested by Executive. **Minimum Qualifications:** High School or GED (Required) **Additional Job Description:** Some post High school with emphasis on secretarial, computer and business skills Demonstrated advanced level Experience with current software programs utilized within department where position exists. Experience with developing and mailing spreadsheets, and/or database programs. Proficient knowledge of Microsoft Office products (Outlook, Word, Excel, Access, and PowerPoint); Experience with current software programs utilized within department where position exists; proficient typing skills; demonstrated business communications skills (oral and written), including grammar and punctuation; Experience managing calendars; Experience handling sensitive and confidential information with discretion; excellent customer service skills.
