About the Role

As an Admin Assistant, you will provide comprehensive, high-level administrative support to the Director of Hotel and Entertainment Operations as well as broader support to the shoreside Operations Team in Singapore. This role requires a proactive, highly organized, and detail-oriented professional who thrives in a dynamic, fast-paced environment. You’ll use a mix of business acumen, relationship management, operational planning, and problem-solving skills to ensure seamless day-to-day operations and exceptional service delivery across both Hotel and Entertainment functions.

Responsibilities:

Prepare executive-level presentations, letters, spreadsheets, agendas, meeting materials, and departmental communicationsProvide direct administrative support including managing complex calendars, meetings, travel arrangements, and expense reportsProvide administrative support to the Director of Hotel Operations and Entertainment Operations during their on-site engagements in Singapore or aboard Disney AdventureServe as the primary point of contact for all office administrative responsibilities including phones, supplies, onboarding logistics, and correspondenceManage logistics for consultants including travel, payments, and contractual obligationsLiaise with Immigration Compliance, and input/manage visitor/vendor information in systems such as SSG, SVAM, IRGSSupport onboarding, transfers, and separation processes for new and current cast/crewMaintain company vehicle schedules and coordinate procurement needs (laptops, phones, etc.)Provide backup support for department coordination during emergency procedures and act as the Record Information Management (RIM) CoordinatorAssist with event planning, event setup, and package receiving as neededExercise sound judgment in prioritizing tasks and anticipating the needs of leaders and team membersPartner with Operations Assistants across the fleet, contributing to ongoing process improvementsHandle special tasks and high-priority projects as requestedManage all responsibilities with the highest level of discretion and confidentiality

Required Qualifications & Skills:

Minimum 5 years of experience supporting business executives in large organizationsStrong organizational and multitasking skills with extreme attention to detailProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Familiarity with SAPDemonstrated ability to navigate complex schedules, prioritize independently, and remain flexible under pressureExcellent verbal and written communication skillsProven interpersonal and consultative skills with a collaborative, positive approachAbility to manage multiple ongoing projects with efficiency and professionalismHigh degree of discretion in handling sensitive and confidential mattersPassion for providing exceptional service to both internal teams and guests

Education:

Required: High school diploma or equivalent work experiencePreferred: Bachelor’s degree
