JOB OPENING
+ Title: ACS Front Desk Services and FAP Administrative Support

JOB DESCRIPTION
General Administrative & Program Support
+ Provide technical and program support for planning, programming, assessments, inspections, and reporting.
+ Manage data processing, personnel, equipment, property, and logistics.
+ Handle general office tasks including copying and shredding documents.
+ Prepare daily correspondence (e.g., training agendas, meeting minutes).
+ Submit purchase orders using the provided templates.
+ Attend and participate in scheduled and unscheduled meetings, conferences, and briefings.
+ Prepare meeting minutes and submit within 5 business days.
+ Assist with training programs (e.g., copying presentations, collecting materials).
+ Additional administrative tasks as assigned.
Records & Office Management
+ Maintain records and correspondence in accordance with ARIMS.
+ Ensure secure storage of files (property of U.S. Government).
+ Recycle used printer/toner cartridges monthly.
Front Desk & Customer Service
+ Maintain Front Desk Continuity book.
+ Assist customers with computer lab sign-in, passwords, and IT support.
+ Perform front desk operations: greeting, phone answering, appointment scheduling, class/event registration.
+ Provide information and referral services.
+ Assist with Lending Closet pick-up and returns.
+ Sort and distribute office mail and marketing materials.
+ Organize and distribute community coupon program.
+ Maintain and update ACS marketing materials.
+ Keep computer lab clean and organized throughout the day.
Facility & Reporting
+ Submit and track service/work orders for ACS facility.
+ Submit weekly activity summaries.
+ Maintain confidentiality and PII guidelines.
QUALIFICATIONS
+ Administrative proficiency: Ability to manage office tasks, correspondence, and records.
+ Communication skills: Capable of attending meetings, preparing minutes, and interacting with customers.
+ Technical skills: Familiarity with data processing, IT troubleshooting, and using systems like ARIMS and AFWP. Proficient in Microsoft Office as well.
+ Customer service orientation: Experience in front desk operations and assisting diverse clientele.
+ Confidentiality awareness: Understanding of handling PII and sensitive information.
