The Acquisitions Lease Specialist will provide support and assistance to the Lease Administrators by coordinating and performing various administrative functions and preparing various legal documents. This role will also provide general clerical support for the legal department.
ESSENTIAL JOB FUNCTIONS
Prepare, review, and revise lease documents for Lease Administrators to perform the acquisition of real property interests and construction of improvements, including, leases, lease exhibits, lease modifications/amendments, easements, memorandums of lease, and subordination and non-disturbance agreements.
Review, organize, calendar and present collected information to Lease Administrators and various members of the real estate department on each file throughout the negotiation process, including obtaining critical timelines from internal departments for preparation of lease documents.
Maintain/update various tracking spreadsheets and reports regarding the status of sites approved for negotiations to ensure that they progress in a timely manner.
Effectively communicate with the Lease Negotiations team, Real Estate Legal Counsel, Real Estate Site Acquisition Coordinators/Managers, potential landlords, real estate agents and brokers, and various internal departments regarding time lines and terms to ensure that lease revisions are made in a timely manner.
Ensure Executive approval (for regulatory compliance) and distribution of executed leases to necessary internal departments, including Legal, Real Estate, Design, Construction, Property Management, Store Operations, and Store Administration.
Create and properly maintain Lease Negotiations files, and ensure they are scanned and uploaded to Lucernex upon execution of a lease.
Schedule internal meetings and set up conference calls between Landlords and Real Estate Legal Counsel and Lease Administrator assigned to that site.
Perform other related duties as may be required by Real Estate Counsel, Associate General Counsel/Senior Director of Real Estate Legal Services, and the Lease Negotiations team.
SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES
Required:High school diploma or equivalent (GED)
2-3 years of office experience
Proficient in word processing and spreadsheet software programs
Strong clerical, organizational, and time management skills, specifically related to the legal field
Attention to detail and ability to prioritize and handle several different tasks simultaneously
Desired:2 years real estate office experience, commercial property acquisition/development, knowledge of lease documents
