Job Description
A project-based organization is seeking an Accounts Receivable Specialist to support day-to-day accounting operations. In this role, you work closely with accounting leadership and ownership to manage customer invoicing, maintain accurate financial records, and support project-related revenue tracking. You contribute directly to the financial health of the organization by ensuring timely, accurate accounts receivable processes and clear communication with internal teams and clients.
Responsibilities
Generate and process customer invoices and payments accurately and on time.Maintain daily, accurate accounts receivable records, including invoices, receipts, and payment tracking.Track and reconcile project revenue across accounting and project management systems to ensure complete and consistent records.Communicate with ownership, supervisors, employees, and clients regarding payment status, charges, and account balances in a clear and professional manner.Link and track projects across systems such as QuickBooks and Buildertrend to ensure data consistency and accuracy.Research and resolve discrepancies in accounts receivable records independently, using a methodical and problem-solving approach.Provide a mix of accounting support and light administrative or front-office assistance as needed.Collaborate with colleagues across departments in a hands-on, project-focused environment to support multiple ongoing client engagements.Essential Skills
Experience in accounts receivable and general accounting support, including invoicing, payment processing, and reconciliation.Proficiency with QuickBooks for day-to-day accounting and accounts receivable functions.Strong Excel and data entry skills with attention to accuracy and detail.Ability to maintain organized and accurate financial and project records on a daily basis.Qualifications
Associate’s degree in Accounting, Finance, or equivalent hands-on experience in a similar accounting or accounts receivable role.Experience with Buildertrend or similar project management and accounting integration tools is a plus.Comfort working in a project-based environment that requires tracking revenue across multiple systems.Ability to support light administrative and front-office tasks alongside core accounting responsibilities.Capacity to thrive in a detail-oriented environment that supports multiple projects and clients at once.Work Environment
This is an office-based role within the accounting department in a smaller, collaborative setting. You work in a hands-on environment with regular interaction across departments and direct contact with ownership. The office includes a front area with two desks where team members sit and provide both accounting and light front-office support. The culture emphasizes accuracy, attention to detail, and a proactive approach while supporting multiple projects and clients in a fast-paced yet supportive atmosphere. You use tools such as QuickBooks, Excel, and project management systems like Buildertrend to manage and track financial information.
Job Type & LocationThis is a Contract to Hire position based out of Maryland Heights, MO.
Pay and BenefitsThe pay range for this position is $22.00 - $25.00/hr.
