Accounts Receivable Clerk
Job Title: Accounts Receivable Clerk Job Description We are seeking a detail-oriented Accounts Receivable Clerk to manage and process incoming payments, issue invoices and credit notes, and maintain accurate financial records. This role requires regular communication with customers to resolve discrepancies and ensure timely payments, as well as supporting the finance team with reporting and administrative tasks. Responsibilities + Handle customer communications via phone and email regarding outstanding balances, returns, and billing issues. + Investigate and process credit requests, refunds, and chargebacks as needed. + Monitor and report on the status of accounts receivable to the CFO. + Record and post all incoming payments, including cash, checks, ACH, and credit card transactions. + Generate and distribute customer statements on a monthly basis or upon request. + Place and manage account holds when necessary. + Compile and submit daily and weekly sales reports. + Maintain organized filing of AR documents. + Review open sales orders and escalate any issues promptly. + Request and manage customer credit references. + Provide notary services as requested by management. + Respond to internal and external email inquiries in a timely manner. + Track and manage employee shipping receivables. + Order and maintain office supply inventory. + Assist with month-end closing activities and invoicing processes. + Prepare year-end documentation, ensuring accurate posting to the correct fiscal period. + Maintain reliable and punctual attendance. + Support other duties and projects as assigned. Essential Skills + At least 2+ years of accounts receivable experience. + Proficiency in Microsoft Excel, including Pivot Tables. + Experience with ACH processing and credit notes. + Strong customer service mindset. + Basic accounting knowledge, including credits and debits. Work Environment The office environment is laid-back, with a casual dress code where jeans and appropriate shirts are acceptable. You will be part of a four-member accounting team and will serve as a backup for the accounts payable person when necessary. Training is conducted virtually and typically lasts 6-8 weeks. There may be occasional travel between office buildings, requiring a brief outdoor walk. The team enjoys a relaxed atmosphere, with events such as office picnics to celebrate together. We encourage candidates who are eager to expand their accounting knowledge and take on additional responsibilities, such as reconciliations, journal entries, and payroll tasks. Pay and Benefits The pay range for this position is $20.00 - $21.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
