\n\t\t\t\t\tOverview:\nCommercial construction General Contractor is seeking an experienced Accounts Payable Administrator to join their Suisun, CA office. This person will primarily be responsible for managing all items related to their accounts payable process including: analyzing/processing invoices, purchasing/receiving documents, and expense reports, working with vendors and other team members to resolve past due invoices and reconcile monthly statements. This person will also oversee additional ad hoc administrative and general office management duties. This position is 100% in office; no remote work is available.\n\nResponsibilities: \nAccounts Payable/Subcontractor Maintenance(75%):\nResponsible for all accounts payable duties for all jobs and overhead; ensure project cost codes, and approvals are acquired.\nFull cycle invoice processing, approximately 300 invoices per month. \nCollection of waivers from subcontractors.\nEntry of all accounts payable-related documents into INTACCT accounting system.\nMonthly maintenance of vendor insurance certs, ensuring they are current and loaded into INTACCT as well as the vendor files.\nWeekly selection of open Payables submitted to Business Manager for approval, before requesting checks to be cut.\nSubmit credit applications for new vendor account setup.\nMonthly Credit Card and Fuel Card reconciliation.\nReconcile vendor statements.\nManage subcontract process: upload executed contracts, manage and upload change orders, receive subcontractor invoice, review invoices and compare to project budget allocation to ensure payments are processed on schedule in accordance with contract guidelines and payment terms \n\nOffice Management(25%):\nAnswer phones, assist callers, direct calls, and take messages in a professional manner.\nEnsure operation of office equipment by completing preventive maintenance, call for repairs, and maintain necessary supply levels.\nMaintain office supply inventory, anticipate needed supplies, place orders in timely manner.\nRetain filing system – both hard copies and electronic files.\nProvide general administrative work and assistance as requested.\nOpen, distribute mail and prepare outgoing mail.\nPrepare and arrange shipping services for documents through multiple providers (USPS, UPS, FED EX, etc.). Maintain log of all outgoing documents.\nMonitor incoming faxes, send outgoing faxes and scan, as required.\nMaintain schedules, event calendar and set appointments for management team.\nMake travel, events, training, luncheon, and meeting arrangements for management, office personnel and field employees.\nLocal errands (i.e.: picking up items at store, going to DMV, Fed Ex Dropoff, etc.).\nCreate, update, edit Ad Hoc reports as requested from a variety of departments.

Pay and BenefitsThe pay range for this position is $25.00 - $28.00/hr.
