Job Title: Accounts Payable Specialist
Job Description

We are seeking a dedicated Accounts Payable Specialist who excels in vendor communication and partnering via phone and email. The ideal candidate will manage vendor files, verify invoice authorizations, and ensure accurate coding and entry of invoices. You will also be responsible for generating weekly payment selections, processing approved selections, and maximizing available discounts.

ResponsibilitiesMaintain vendor files in the system and spreadsheet.Verify authorization on any non-PO invoices.Code and enter all invoices as required.Generate and process weekly payment selections.Run discount selections daily to capture all available discounts.Match invoices to checks for review and signature.Mail and distribute checks, and handle filing and scanning.Review vendor statements for missing invoices or potential issues.Resolve duplicate or unmatched invoices and receiving discrepancies.Perform AP close in the system and distribute necessary reports.Administer certificates of insurance and handle annual 1099 filings.Cross-train in other accounting positions.Research open invoices and credits on customer accounts.Collaborate closely with the Accounts Receivable team.Prepare weekly AR, credit, and collection reports.Understand regional sales tax rules, including use and resale certificates.Build positive relationships with customers and internal departments.Cross-train on cash applications desk.Handle various projects and duties as assigned.Essential SkillsMinimum 1 year experience in accounts payable.Experience with ERP software.Basic knowledge of general ledger and reconciliations.Competency in coding invoices.Proficient phone etiquette and strong customer service skills.Excel data entry skills.Additional Skills & QualificationsAmbitious with great attention to detail and organizational skills.High degree of accuracy and professional demeanor.Excellent customer service skills and phone confidence.Strong business math skills and 10-key by touch skills.Ability to multitask and understand priorities.Experience with various software including Excel, Outlook, and ERP systems.Excellent communication skills, both written and verbal.Work Environment

This position is 100% in-office, located near the Lloyd Center. The work schedule is Monday through Friday, 7 AM to 4 PM, in a blue-collar office environment. The company specializes in petroleum dispensing equipment distribution, service, sales, and specialty construction work. The team is family-oriented, with regular potlucks, cookouts, and company outings.

This is a Contract to Hire position based out of Portland, OR.

Pay and Benefits

The pay range for this position is $23.00 - $25.00/hr.
