Job Description
The Accounts Payable Specialist supports day-to-day accounting operations in a project-based environment, working closely with accounting leadership and ownership to process invoices, maintain accurate financial records, and support project-related cost tracking. This role combines hands-on accounts payable responsibilities with general administrative support and regular interaction across departments and with external vendors.
Responsibilities
Process vendor and customer invoices and payments accurately and on time.Process cash transactions and ensure they are recorded correctly in the accounting system.Maintain daily, accurate financial records, including invoices, receipts, and credit card transactions.Reconcile company credit cards across multiple entities in QuickBooks and Buildertrend to ensure all project costs are captured.Track and link project costs across systems to maintain consistency and accuracy.Communicate with owners, supervisors, employees, clients, and vendors regarding account status, charges, and payments.Monitor invoice status and follow up with vendors and internal teams as needed.Essential Skills
Associate’s degree in Accounting, Finance, or equivalent hands-on experience.2+ years of accounts payable or general accounting experience.Proficiency with accounting software, with QuickBooks strongly preferred.Experience processing vendor and customer invoices, payments, and cash transactions.Ability to maintain accurate financial records, including invoices, receipts, and credit card transactions.Experience reconciling credit cards, preferably across multiple entities.Additional Skills & Qualifications
Construction or project-based accounting experience is a plus.Experience with Buildertrend is a plus.Experience linking and tracking projects across multiple systems is beneficial.Comfort working in a collaborative, cross-departmental environment.Ability to balance accounting responsibilities with light administrative and front-office support.Work Environment
This is an office-based role within the accounting department in a project-driven, detail-oriented environment. You will work in a collaborative, hands-on setting with regular interaction across departments, owners, and external vendors. The position offers a mix of focused accounting responsibilities and light administrative or front-office support, with exposure to multiple projects and entities. You will primarily work with accounting software such as QuickBooks and may use Buildertrend as part of project cost tracking and credit card reconciliation.
Job Type & LocationThis is a Contract to Hire position based out of Maryland Heights, MO.
Pay and BenefitsThe pay range for this position is $22.00 - $25.00/hr.
