Job Title: Accounts Payable Specialist

Job Description

This role involves managing the accounts receivable process, which includes collecting mail, collaborating with project managers for necessary information, creating and maintaining intricate spreadsheets, generating job numbers, and tracking billing. You will also be responsible for reaching out to clients and mailing bills. As an Accounts Receivable Analyst, you will enter approved customer invoices into Foundation Software and upload them to customer portals, manage AR aging, follow up on outstanding invoices, and support collections. Additionally, you will reconcile accounts receivable transactions and assist with month-end closing tasks.

Responsibilities

1.\tInvoice Processing:

•\tReview, verify, and process invoices accurately and timely.

•\tMatch invoices with purchase orders and receipts.

•\tEnsure correct coding of invoices to appropriate accounts and cost centers.

2.\tPayment Processing:

•\tPrepare and process check runs, ACH, wire transfers, and other payment methods.

•\tReconcile payments with vendor statements and resolve discrepancies.

•\tMaintain payment schedules to ensure timely vendor payments.

3.\tReconciliation & Reporting:

•\tReconcile AP ledger accounts and vendor statements.

•\tAssist in month-end and year-end closing activities.

•\tGenerate AP aging reports and other financial reports as required.

4.\tVendor & Internal Communication:

•\tMaintain positive relationships with vendors and respond to inquiries in a timely manner.

•\tWork with internal departments to resolve invoice discrepancies and approval issues.

•\tEnsure compliance with company policies and procedures.

5.\tCompliance & Documentation:

•\tEnsure proper documentation and filing of invoices, payments, and other AP records.

•\tAssist in audits by providing necessary documentation and support.

•\tStay updated on tax regulations, including W-9 and 1099 reporting requirements.

6.\tProcess Improvement:

•\tIdentify and implement improvements in the accounts payable process.

•\tAssist in automating AP functions where applicable.

•\tEnsure adherence to best practices in financial processes.

Essential Skills

•\tExperience: 5+ years in accounts payable or a related accounting role.

•\tSoftware Proficiency: Experience with ERP systems (Foundations a +) and Microsoft Excel.

•\tSkills: Strong attention to detail, problem-solving abilities, and excellent communication skills.

•\tKnowledge: Understanding of accounting principles, GAAP, and tax compliance related to AP.

Work Environment

This is a 100% in-office position within a team consisting of one AR person and four AP individuals. The work environment may involve interactions with blue-collar individuals who are straightforward in their communication. Pay and Benefits

The pay range for this position is $60.00 - $80.00/hr.
