Accounts Payable Specialist
Urgent Accounts Payable Specialist Job Description We are seeking a diligent and experienced Accounts Payable Specialist to join our finance team. The successful candidate will be responsible for managing the accounts payable processes, ensuring accuracy and compliance with company policies and regulatory requirements. This role requires a keen eye for detail and a proactive approach to improving processes and supporting finance-related projects. Responsibilities + Review and verify invoices and payment requests for accuracy, proper documentation, and approval. + Match purchase orders, receipts, and invoices to ensure completeness and compliance. + Enter and process vendor invoices in the accounting system in a timely and accurate manner. + Prepare and execute payments via checks, ACH, wire transfers, and other approved methods. + Monitor accounts to ensure payments are up to date and resolve any discrepancies. + Maintain vendor records, including contact information, payment terms, and tax documentation. + Respond to vendor inquiries and resolve payment-related issues professionally and promptly. + Reconcile AP ledger accounts and assist with month-end closing activities. + Support audits by providing documentation and responding to inquiries from internal and external auditors. + Assist in tracking and reporting expenses for budgeting and forecasting purposes. + Collaborate with procurement and receiving departments to resolve invoice and PO mismatches. + Ensure compliance with company policies, internal controls, and regulatory requirements. + Identify opportunities to improve AP processes and support automation initiatives. + Generate reports and summaries using accounting software and business intelligence tools. + Perform other related duties as assigned to support the finance and accounting team. + Support special accounting projects and other duties as needed. + Flexibility to work extended hours during month-end close or when supporting special projects. Essential Skills + 2-3+ years of accounts payable experience with high volume invoice processing, 2/3 way match, and reconciling AP statements. + Proficiency in Excel, including basic functions, pivot tables, and vlookup. + Experience with Costpoint version 8.2. + Experience managing an AP backlog. Additional Skills & Qualifications + Associates or Bachelors degree in a relevant field. + Experience in government contracting (GovCon). Work Environment The work schedule is Monday through Friday, from 8 AM to 5 PM. The position offers the potential for permanent placement with a local government contractor.
