Accounts Payable Specialist
Description We are looking for an experienced Accounts Payable Specialist to join our dynamic team in Plano, Texas. This role is pivotal in managing the full accounts payable cycle for a high-volume, fast-paced commercial construction company. The ideal candidate will excel in working with purchase orders, subcontractor pay applications, expense reports, and month-end close processes, while ensuring accuracy and compliance in all financial transactions. Responsibilities: • Process vendor invoices and subcontractor pay applications by verifying them against purchase orders and contractual agreements. • Manage communications with vendors and subcontractors to address discrepancies and ensure proper documentation, including lien waivers, is received prior to payment. • Audit and process employee expense reports to ensure adherence to company policies and proper coding. • Prepare and execute scheduled and off-cycle check runs, including printing, mailing, and organizing physical checks. • Maintain accurate records by scanning, filing, and organizing paper invoices and payment documentation. • Reconcile accounts payable sub-ledger to the general ledger to ensure accuracy in financial records. • Assist with month-end close tasks, including accruals and reporting of outstanding liabilities. • Keep vendor accounts up-to-date and ensure compliance with company standards. • Support continuous improvement initiatives to streamline manual processes and enhance efficiency. Requirements • Minimum of 5 years of full-cycle accounts payable experience, with a preference for candidates from the construction industry. • Strong knowledge of purchase orders, subcontractor pay applications, and expense reporting. • Familiarity with construction accounting practices and terminology. • Proven expertise in account reconciliations and month-end close procedures. • Ability to work effectively with manual, paper-based systems, including scanning, filing, and physical check processing. • Proficiency in accounting software such as Sage, Foundation, QuickBooks, or similar systems used in the construction sector. • Advanced skills in Microsoft Excel and Word. • Exceptional organizational abilities, attention to detail, and capacity to manage multiple priorities efficiently.
