Accounts Payable Specialist
Description We are looking for a skilled Accounts Payable Clerk to join our client's team. This position will focus on managing the accounts payable process, ensuring accuracy in invoice processing, job costing, and compliance with industry standards. The ideal candidate will bring expertise in construction-related accounting and thrive in a fast-paced, collaborative environment. Responsibilities: • Process a high volume of invoices and pay applications for subcontractors, vendors, and suppliers. • Match invoices with purchase orders, contracts, and receiving documentation to ensure accuracy. • Assign invoices to appropriate project codes, cost codes, and phases for precise job costing. • Collect and track lien waivers and insurance certificates prior to issuing payments. • Reconcile vendor statements and address any discrepancies or billing concerns. • Collaborate with project managers and field teams to verify invoice details and approvals. • Conduct weekly check runs, process electronic payments, and manage credit card transactions. • Maintain organized and up-to-date accounts payable records and documentation. • Support month-end closing by preparing reports and completing AP-related tasks. • Ensure adherence to internal controls, company policies, and financial regulations. Requirements • Minimum of 2 years of accounts payable experience, preferably within the construction industry. • Strong knowledge of job cost accounting, lien releases, and subcontractor billing processes. • Familiarity with construction accounting software such as Sage 300, Viewpoint Vista, or Procore. • Proficiency in Microsoft Excel and general accounting principles. • Exceptional attention to detail, organizational skills, and communication abilities. • Capability to work independently while managing multiple tasks and meeting deadlines. • Associate degree in Accounting or a related field is preferred. • Understanding of billing retainage and related processes is a plus.
