Accounts Payable Clerk Job Description The Accounts Payable Clerk supports day-to-day financial operations by accurately processing vendor invoices, expense reports, and payment activities. This role ensures the timely and precise recording of payable transactions, performs reconciliations of assigned general ledger accounts, and collaborates with internal teams to resolve discrepancies. The position operates in a fast-paced environment that requires strong attention to detail, excellent organization, and consistent adherence to deadlines. Responsibilities + Review, code, and process vendor invoices and payment requests in accordance with established procedures and company policies. + Assist with weekly payment runs, including preparing supporting reports, organizing documentation, and coordinating the mailing or distribution of issued checks. + Research and resolve invoice discrepancies, purchase order issues, and payment inquiries by working closely with vendors and internal departments. + Perform routine reconciliations of accounts payable-related general ledger accounts and maintain accurate, well-organized supporting documentation. + Match purchase order invoices with receiving documentation and enter data into the accounting system to ensure accurate and timely payment processing. + Process employee expense reports on a recurring basis, verifying accuracy, compliance with policy, and appropriate approvals. + Communicate professionally with vendors and internal stakeholders via phone, email, and written correspondence to address questions and provide information. + Provide payment status updates and related information as requested by internal departments and stakeholders. + Support additional accounting or administrative tasks as assigned to assist the broader finance and accounting team. Essential Skills + At least 1 year of hands-on accounts payable experience. + Practical experience with accounts payable processes, including invoice processing and payment preparation. + Solid understanding of general accounting principles and financial transaction processing. + Proficiency with Microsoft Office, particularly Microsoft Excel. + Strong attention to detail with excellent numerical accuracy. + Ability to manage a high volume of transactions while consistently meeting deadlines. + Effective verbal and written communication skills. + Strong problem-solving, analytical, and organizational abilities. + Ability to work independently while also collaborating effectively across departments. Additional Skills & Qualifications + Experience in a manufacturing environment preferred. + Exposure to food or consumer packaged goods environments is a plus. + Hands-on experience with purchase orders and three-way matching processes. + Experience with data entry in an accounting or ERP system. + Familiarity with accounts receivable processes is beneficial. + Comfort using the full Microsoft Office suite in a professional setting. Work Environment The role follows a Monday through Friday schedule with a flexible start time between 6:00 a.m. and 8:00 a.m., and an end time between 3:00 p.m. and 5:00 p.m. Once fully trained, the position offers a hybrid arrangement with one day per week worked remotely. The Accounts Payable Clerk works in a cubicle setting with a dedicated desk area, using standard office technology and software to complete daily accounting and administrative tasks. Job Type & Location This is a Contract to Hire position based out of Little Chute, WI. Pay and Benefits The pay range for this position is $26.00 - $32.00/hr.
