We’re seeking a detail‑oriented Accounts Payable Specialist to support daily financial operations across multiple campuses. In this role, you’ll play a critical part in ensuring invoices, reimbursements, refunds, and vendor payments are processed accurately, on time, and in compliance with organizational policies and regulations.

What You’ll Do

As an Accounts Payable Specialist, you’ll manage the full lifecycle of payable transactions while providing outstanding service to stakeholders throughout the organization:

Process invoices, reimbursements, refunds, credits, and related transactions accurately and on schedule using the organization’s ERP system, in accordance with cash allocation guidance from TreasuryIdentify exceptions, discrepancies, or incomplete documentation and take appropriate action to resolve issuesCompile, review, and distribute mailed payments promptly and accuratelyEnsure compliance with all applicable policies, procedures, and regulations by verifying required documentation and approvalsMaintain supplier records and standards to ensure correct invoice processing and payment issuanceManage and track invoices that cannot be processed in ERP, maintaining accurate documentation and supporting filesRespond to inquiries from departments and suppliers in a professional and timely manner, providing guidance on invoice status, reimbursements, and payment processesSupport monthly and year‑end close activities, including 1099 preparation and reportingAssist with identifying and recovering unclaimed funds on behalf of the organizationMaintain organized records to support audits, reporting, and regulatory complianceCollaborate with colleagues across departments to support organizational operations and deliver excellent customer serviceWhat You Bring

Required Skills & Experience

Prior Accounts Payable experienceStrong vendor communication and customer service skillsAdvanced Microsoft Office capabilities, with a strong emphasis on ExcelExcellent attention to detail and data accuracyStrong typing and general computer skillsExperience with administrative tasks including filing, scanning, and documentation management

Preferred Qualifications

1+ years of Accounts Payable experienceAssociate’s Degree or equivalent education/experienceWork Environment & ScheduleLocated in Albany, NYPart of an established Accounts Payable team of 15+ professionalsStandard business hours: Monday–Friday, 8:00 AM – 4:30 PM, with a 30‑minute lunchBusiness casual dress codeStructured, collaborative environment with clear processes and supportWhy This Role Matters

Pay and Benefits

The pay range for this position is $20.00 - $24.00/hr.
