Job Description

We are seeking an Admin Generalist/Accounts Payable Clerk responsible for preparing invoices for payment, managing vendor inquiries, and processing accounts payable checks, EFTs, and online payments. This role involves reconciling processed work by verifying entries and comparing system reports to balances, analyzing invoice and expense reports, and maintaining accounting ledgers by verifying and posting account transactions.

ResponsibilitiesPrepare all invoices for payment.Answer vendor inquiries.Prepare accounts payable checks, EFTs, and online payments.Reconcile processed work by verifying entries and comparing system reports to balances.Charge expenses to accounts and cost centers by analyzing invoice and expense reports, and recording entries.Pay vendors by monitoring discount opportunities, verifying federal ID numbers, scheduling and preparing checks, resolving discrepancies, ensuring credit is received for outstanding memos, and issuing stop-payments or purchase order amendments.Pay employees by receiving and verifying expense reports and preparing checks.Verify vendor accounts by reconciling monthly statements and related transactions.Maintain historical records by scanning and filing documents.Coordinate bank activities related to payables.Place orders for office supplies and maintain inventory levels.Protect organization's value by keeping information confidential.Assist Controller in special projects and accounts receivable, and perform administrative duties.Work collaboratively in a team environment with a spirit of cooperation.Respectfully take direction from the supervisor.Provide internal and external customer support via phone, email, and messaging.Perform other duties as assigned.Essential SkillsAdministrative supportData entryCustomer serviceProficiency in Microsoft OfficeAccounts payableQuickBooksAttention to detailOrganizational skillsAbility to analyze informationProficient math skillsExcellent customer service skillsEffective communication skillsAdditional Skills & QualificationsTechnology skills: Microsoft Office, Microsoft Teams, Great Plains Dynamics, QuickBooks Desktop, Ability to learn new software1-5 years of administrative experience in a similar role, ideally with accounts payable experienceAssociates or Bachelor's degree in accounting, finance, or related field, or equivalent combination of education and experienceDirect communication style and ability to work independentlyWork Environment

You will be part of a team that includes a controller, accounts receivable, outsourced bookkeeping, and accounts payable. The position requires working onsite three days a week (Monday, Wednesday, Friday) in Portland (NE Portland), with other days in Tualatin. You must be able to commute to both locations. Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
