Job Title: Accounts Payable Associate

We are seeking a detail‑oriented and reliable Accounts Payable Associate to manage full‑cycle, high‑volume accounts payable in a fast‑paced, team‑oriented environment. This role involves accurate invoice processing, recordkeeping, and professional communication with internal teams and external vendors within the construction and mechanical services industry.

The ideal candidate is organized, deadline‑driven, and thrives in a structured workplace that values accuracy, collaboration, and long‑term stability. MUST HAVE skills & Experience6+ months of accounts payable or office administration experienceHands‑on experience with full‑cycle accounts payable, from invoice intake to posting and paymentProven ability to process high volumes of invoices accurately and efficientlyStrong organizational skills with the ability to manage multiple prioritiesExcellent communication skills for interacting with vendors and internal staff via phone and emailProficiency in Microsoft Office, including ExcelReliable, consistent on‑site attendance and ability to adhere to a set scheduleExceptional attention to detail and accuracy in data entry and documentationKey ResponsibilitiesManage the full lifecycle of accounts payable, from invoice receipt through posting in the accounting systemProcess approximately 1,000 invoices per month with a high level of accuracy and timelinessReview invoices received through a centralized AP email inbox, verify invoice details, and post transactions in Spectrum or similar accounting softwareMatch invoices to purchase orders when applicable and resolve discrepancies with internal teams or vendorsSupport twice‑monthly check runs, including payment preparation, review, and organizationAssist with month‑end accounts payable closing activitiesServe as the primary point of contact for vendor and payable‑related phone calls, responding promptly and professionallyAssist with subcontract administration tasks as neededMaintain well‑organized, up‑to‑date accounts payable files and documentationPerform data entry for invoices and vendor records with strong attention to detailSupport general accounting and administrative tasks related to accounts payableCollaborate closely with team members in a fast‑paced, close‑knit office environmentPreferred QualificationsExperience in construction, HVAC, mechanical, or project‑based industriesExperience with vendor setup and maintenanceFamiliarity with purchase order processes and invoice matchingStrong customer service mindset when working with vendors and internal teamsComfort working in a fast‑paced, team‑focused environmentInterest in long‑term growth within a family‑owned, low‑turnover organization
Job Type & Location

This is a Contract to Hire position based out of Knoxville, TN.

Pay and Benefits

The pay range for this position is $18.00 - $21.00/hr.
