Accounts Payable Associate – Job Description
Position Summary
We are seeking a detail-oriented Accounts Payable Associate to join our finance team. This full-time role is responsible for processing, verifying, and maintaining accounts payable transactions across multiple currencies. The ideal candidate will ensure timely and accurate payment of invoices, reconcile vendor accounts, and support ongoing process improvements and system enhancements.
Key Responsibilities
Check Payments
Accurately enter invoices and generate cheque payments in accordance with vendor terms.Process large payment batches and upload files into Microsoft Dynamics 365 for payment generation.Prepare check payment files for upload to the bank's Positive Pay website.Issue ad hoc check (e.g., customer refunds) as needed.Online Payments
Process vendor payments via online portals where applicable.Record all online payment batches accurately within Microsoft Dynamics 365.Wire Transfers & Bill Payments
Set up and maintain templates for vendors requiring wire transfers or online bill payments.Complete templates with appropriate invoice data or payment requisitions.Record payments as online batches in Microsoft Dynamics 365.Additional Responsibilities
Investigate and respond to vendor inquiries regarding outstanding or processed payments.Assist with internal and external audit requests by gathering necessary documentation.Contribute to process improvements and support system implementations or changes impacting accounts payable.Collaborate with team members and other departments to resolve issues and improve service levels.Qualifications & Requirements
Diploma in Accounting, Finance, or a related field.Minimum 2 years of experience in an Accounts Payable role.Strong attention to detail and ability to manage high-volume data with accuracy.Excellent organizational, decision-making, and problem-solving abilities.Strong customer service orientation with the ability to communicate effectively with internal and external stakeholders.Ability to manage multiple tasks under pressure and meet tight deadlines.Self-motivated, able to work independently and as part of a team.Skilled in Microsoft applications (Excel, Word)
