Accounts Payable Administrator

Job Title: Accounts Payable Administrator (Temporary)

Job Description

This temporary Accounts Payable Administrator role offers an opportunity to provide hands-on transactional and administrative support for approximately six months. You will manage day-to-day invoicing and expense processes in a fast-paced environment, working extensively with Coupa and a large ERP system. In this position, you will serve as a key liaison between vendors and internal employees, ensuring accurate, timely, and compliant processing of invoices and expenses while contributing to a growing, transformation-focused organization.

Responsibilities

Submit and process supplier invoices within Coupa and the organization’s ERP system.Review, validate, and approve employee expense reports for accuracy and policy compliance.Research, troubleshoot, and resolve invoicing discrepancies, including coding and reconciliation issues.Respond promptly and professionally to inquiries from suppliers and internal stakeholders regarding invoices, payments, and expenses.Ensure all accounts payable activities comply with internal procedures, controls, and timelines.Perform invoice processing, purchase order matching, and data entry with a high degree of accuracy.Support payment processing activities using Coupa payment modules and related tools.Provide general administrative support related to procure-to-pay activities and accounts payable workflows.Analyze invoice and expense data using Microsoft Excel, including vlookups and pivot tables, to identify issues or trends.Maintain organized records and documentation to support audits and internal reviews.Collaborate with accounting and finance team members in a fast-paced, deadline-driven environment.Communicate clearly with vendors and internal employees to ensure smooth resolution of issues and strong working relationships.

Essential Skills

1–2 years of experience in accounts payable.Hands-on experience with invoice processing, expense management, or other AP-related functions.Experience utilizing a large ERP system such as Oracle, SAP, PeopleSoft, Microsoft Dynamics, Infor, or a similar platform.Proficiency in Microsoft Office, including Microsoft Outlook and Excel.Ability to use Microsoft Excel functions such as VLOOKUP and pivot tables for analysis and reconciliation.Prior experience working in Coupa, especially with invoice UI, expense UI, and payment modules, highly preferred.Strong attention to detail and accuracy in data entry and invoice processing.Demonstrated critical thinking and problem-solving skills in resolving invoicing and expense issues.Ability to communicate professionally and clearly with suppliers and internal employees, both in writing and verbally.Proven ability to work effectively in a fast-paced, deadline-driven environment.Tech-savvy mindset with the ability to quickly learn and navigate financial systems and tools.

Additional Skills & Qualifications

Bachelor’s degree in Accounting, Finance, or a related field preferred.Job Type & Location

This is a Contract position based out of Boca Raton, FL.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
