Accounts Payable Accountant

“Waldorf Astoria Helsinki, currently operating as The Hotel Maria Helsinki, will be rebranded later this year.”

We are currently looking for an Accounts Payable Accountant who will support the finance lead in all training and development activities to develop best-in-class finance professionals and assists in developing their finance team. This role supports a robust control and compliance environment and contributes to implement EMEA Operations Finance innovations and projects.

As Accounts Payable Accountant you will be contributing to all activities of the Accounts Payable / OTP (Order to Procure department) in all activities related to timely and accurate payments, maintenance and control of the hotel’s accounts payable and related accounts. You will assist in any other way deemed necessary for the efficient overall operation of the Accounts Payable / OTP (Order to Procure department). 

The role will support and contribute to a smooth Accounts Payable / OTP (Order to Procure department) operation in full compliance with the policy, regulatory and contractual framework. You will business partner with all hotel finance team members and a broad range of internal and external stakeholders, including  Human Resources, Supply Management, Commercial and Operations. You will also participate in all relevant Finance development programs. In case of a joint job role any responsibility relevant joint job descriptions will apply in accordance with Hilton’s job segregation policies. 

What will the role actually look like? Your responsibilities will include: 

Account for and audit all items on all purchase orders, receiving records and supplier invoices.Account for and audit all items on all outgoing shipments and supplier credit notes.Prepare invoices for payments (other than payroll) whether by check, bank transfer or other means and forwards to hotel finance lead and General Manager for approval ensuring accuracy and timeliness.Ensure that all invoices forwarded for either approval or payment has all supporting documentation attached.Balance suppliers’ monthly statements to the hotel accounts payable records.Follow up with suppliers on missing invoices or credit notes.Ensure that all invoices have been approved by relevant department head or person with appropriate level of authority prior to payment.Properly record, reconcile and prepare invoices for payment ensuring that correct General Ledger codes and cost center codes have been used.Ensure that the best rates are used where possible for payments in foreign currency.Be conversant with the Hilton Chart of Accounts and Hilton Analysis Codes (T codes) and the correct use thereof.Ensure the accurate and timely input of data to the accounts payable ledger. Complete all payable related journals for month-end.Ensure that all information relating to bank account details and balance is treated as confidential. Handle all requests and enquiries in a timely, efficient and friendly manner.Prepare trade accruals (goods received without invoice) at month-end. Perform any additional tasks assigned to ensure that the cluster functions smoothly.

We are looking for a candidate who:

Has an University Degree in Accounting or FinanceHas relevant working experience in a Finance (preferably within a service oriented) environmentIs (ideally) business proficient in both English and Finnish
