Job Title: Accounting Specialist
Job Description

The Accounting & Administrative Specialist plays a vital role in supporting daily financial operations, focusing on processing vendor invoices, recording customer payments, and maintaining accurate records in QuickBooks. This role also provides essential administrative support to ensure smooth office operations, organized documentation, and timely communication.

ResponsibilitiesEnter, review, and code vendor invoices in QuickBooks with proper GL classifications.Match invoices to purchase orders, packing slips, or approvals.Monitor the AP inbox and respond to vendor inquiries.Prepare weekly payment batches and assist with check runs, ACH payments, or credit card reconciliations.Maintain vendor files, W‑9s, and payment documentation.Generate customer invoices, credit memos, and statements in QuickBooks.Record incoming payments (checks, ACH, credit card) and apply them to customer accounts.Monitor aging reports and follow up on overdue balances.Communicate with customers regarding billing questions or discrepancies.Maintain accurate AR documentation and support month‑end close tasks.Ensure all transactions are properly coded and supported with documentation.Assist with bank, credit card, and vendor statement reconciliations.Run financial reports as requested by management.Support data cleanup and file organization.Answer phones, greet visitors, and manage general office communication.Maintain digital and physical filing systems.Assist with scheduling, correspondence, and internal coordination.Order office supplies and support basic office operations.Prepare spreadsheets, reports, and forms as needed.Essential Skills1–3 years of experience in accounts payable, accounts receivable, or general accounting.Hands‑on experience with QuickBooks Online or Desktop.Strong understanding of basic accounting principles.Proficiency in Excel and general office software.Excellent attention to detail, accuracy, and follow‑through.Strong communication skills and a professional, customer‑service mindset.Ability to manage multiple priorities and meet deadlines.Additional Skills & QualificationsExperience with invoice processing, data entry, and purchase orders.Capability to handle administrative tasks efficiently.Work Environment

This role is set in a small company environment with a team of five people. The position is fully onsite, with working hours from 9:00 AM to 4:30 PM. The role is a long-term contract with no specified end date, providing stability similar to a permanent position.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
