Accounting Specialist
Description The Accounting Specialist plays a vital role in the financial operations of the organization by providing comprehensive support across various aspects of accounting for all entities. This position is responsible for managing accounts payable, supporting client billing and collections, and maintaining accurate financial records. The ideal candidate is detail-oriented, proactive, and possesses strong communication skills to effectively collaborate with internal teams and external partners. This role requires coordination with project managers, vendors, subcontractors, and clients to facilitate smooth financial workflows and uphold high standards of fiscal responsibility across the organization. Duties and Responsibilities • Involved in nearly all aspects of accounting as needed for all entities. • Manage the accounts’ payable functions. • Contribute to the preparation of the bill pay report and support the bill approval workflow by gathering necessary documentation and facilitating communication with approvers. • Lead expense management process. • Support the preparation of client invoices by compiling necessary project data and coordinating with project managers to finalize billing details. • Manage collections process. • Manage banking and credit card reconciliations. • Enter financial transactions into accounting software accurately and timely. • Prepare inter-company billing and transactions. • Manage document retention to ensure all required documents are appropriately named and saved. • Assist in the production of ad hoc reports and special accounting projects. • Assist in month, quarter and year end closing processes. • Continuous investigation into process improvements. • Ensure accurate financial records and compliance with company policies. • Effectively communicate with vendors, subcontractors, and clients. Basic Job Requirements • Proven Bookkeeping/Accounting Experience with QuickBooks/Quicken Software. • Experience with construction project AIA billing. • Ability to maintain confidentiality in all matters. • Working understanding of accounting controls and procedures. • Excellent time management skills, with ability to prioritize work. • Skilled problem solver with ability to work independently. • Strong organizational and planning skills in a fast-paced environment. • Ability to communicate clearly and efficiently. • A creative mind with an ability to suggest improvements. • Proficiency in MS Office. • High School diploma. Preferred Job Requirements • BSc/BA in office administration or relevant field is preferred. • Experience in Construction Industry is preferred. • Experience with Knowify software or AutoDesk Solutions. Pay and Benefits The pay range for this position is $25.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
