Accounting Administrative Assistant

Position Summary

The Accounting Administrative Assistant is responsible for supporting the day-to-day Accounting activities.  The successful candidate will demonstrate a willingness to perform needed operation responsibilities to lead the Company, effectively supporting Executive Leadership. This job requires a high energy level with a focus towards administration, compliance, analysis, and customer service.

Essential Duties and Responsibilities

Include the following.  Other duties will likely be assigned.

Compute, classify, record and verify numerical data for use in maintaining accounting records.

Match vendor invoices and purchase orders, packing slips when applicable.

Receive vendor invoices via e-mail, route to appropriate party, follow-up in a couple of days to resolve open issues.

Follow internal control policies, guidelines, and procedures for activities such as budget administration, cash and credit management, and accounting.

Process invoices and maintain accounting records.

Assist with monthly and quarterly accounting close and preparation of financial statements and reports.

Organize and maintain A/P records.

Assist with A/P accrual at month's end.

Coordinate timely payments with suppliers and purchasing personnel.

Assist with internal/external audits schedule and requirements.

Qualifications

Position Requirements and/or Experience

Minimum 1-2 years Accounting experience.  Accounts Payable experience preferred.

Experience in the construction industry and union environment a plus.  Working knowledge of federal, state, and city regulations and guidelines.  Proficiency using Microsoft Office (i.e., Outlook, Work, Excel) applications.

Working knowledge of financial/payroll software helpful.  Experience using Starbuilder preferred.
