Account Coordinator

Responsibilities: 

 

Team Admin: 

Timely and efficient diary management and coordination of meetings, conference calls, and other events for the team (both JLL and Barclays) 

Support with transferring data between two IT systems 

 

Travel & Expenses: 

Managing expense claims and settling expenses in People Soft 

Support with national and international travel arrangements for preparing complex trips/ trip plans, including flights, car rentals, and hotel accommodations. 

 

Governance: 

Work order management  

Contract reviews for resources, tracking against the contract termination/renewal 

Sharing JLL Research highlights with the client. 

Billing process and invoicing in Salesforce (plus Financial Force and Coupa systems)  

Discreet handling of sensitive and confidential information.  

 

Other tasks: 

Assisting in replying to e-mails and correspondence from Clients and colleagues. Phone liaison to enable swift communication 

Preparing the agendas of meetings, precise minutes, and action plans. Ensuring their proper communication and execution, if necessary 

Developing and maintaining strong working relationships across the regional and global team to effectively coordinate global activities 

Requirements: 

Previous experience in a similar job position and the desire for further long-term cooperation and development in this field is essential.   

Experience in working with senior stakeholders.  

Proficiency in English & outstanding spoken and written communication skills are a must.   

A responsible person, trustworthy, able to work independently without supervision, making decisions when necessary.   

Ability to prioritize workload and pay attention to detail.  

Well-developed planning skills and ability to coordinate several projects simultaneously efficiently and on time.  

Ability to learn fast how to administrate new tools and applications.  

Advanced working knowledge of MS Office (especially Outlook, Teams, Excel, and PowerPoint).   

Analytical skills are required to gather and summarize data from different applications and stakeholders to produce reports and solve various administrative and account management matters.   

Strong knowledge of team admin and financial tracking
