Job Summary
Hatfield Marine Science Center is seeking an hourly Academic Wage: Port Orford Field Station Site Coordinator. This is a part-time (.25 FTE ), 12-month, fixed-term position. This position is anticipated to last approximately one year and is located in Port Orford, Oregon.
The Port Orford Field Station Site Coordinator, stationed at Oregon State University’s Port Orford Field Station, is responsible for overseeing the daily operations of the research field station facility. The Station Manager is administratively managed by HMSC DRI administration and reports to the Associate Director of Research Support at Hatfield.

Key Responsibilities
FACILITY OPERATIONS -85%
+ Coordinate Shared Use Facilities- housing, classroom, labs, and scuba fill station
+ Respond to station use requests and manage use schedules and housing assignments.
+ Collect required documentation.
+ Review use expectations and check-in/out procedures with all guests.
+ Manage and maintain inventory of consumable supplies such as paper products and cleaning supplies. Purchase necessary supplies as needed.
+ Coordinate the use of the SCUBA compressed air fill station in accordance with OSU Scientific Diving Program policies and industry best practices- training provided.
+ Provide oversight and coordination for OSU small boats housed at the field station.
+ Responsible for station administrative roles
+ Track billing information for use of housing, classroom, labs, and scuba fill station spaces
+ In partnership with Associate Director of Marine Research Support, prepare and submit invoices and expense reports in ( RELMS , BennyBuy, Accounts Payable, Concur)
+ Foster an inclusive environment for all residents, students, and visitors/guests.
FACILITY SAFETY - 10%
+ Manage facility access, key inventory, access control, and security protocols.
+ Facilitate communications between visiting dive and boating projects and OSU’s Dive and Boating Safety Officers as needed.
+ After-hours on-call primary contact for lock-outs, emergencies, and critical situations.
+ Support OSU safety policies and standards and emergency management plans.
FACILITY MAINTENANCE -5%
+ Responsible for coordinating with janitorial services and landscaping services providers, any specially contracted services, and the HMSC Facilities team for general maintenance, repairs, and upkeep of facilities and grounds.
What You Will Need
+ Bachelors degree in a relevant field OR an appropriate combination of education and experience applicable to the role.
+ A minimum of 2 years’ experience managing an office, lab, or field station or relevant administrative management experience in the performance of duties related to scheduling and billing
+ Proficiency in Microsoft Office Suite (with emphasis on Excel, Word, Outlook, and Teams), databases, and hybrid meeting platforms such as Zoom
+ Demonstrated ability to work independently and as part of a team
+ Outstanding organizational skills and excellent judgment, with a high level of self-motivation and accountability
+ Must have the ability to work occasional irregular hours, including night and weekend work.
+ Ability to foster an inclusive environment and respect all backgrounds, ideas and perspectives.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
+ Experience in service operations; encompassing operations management, customer service, event management, service contracting, and housing/tenant management, facilities operations, and coordination of maintenance and upkeep.
+ Experience working with and supporting diverse populations, university students, or others in an educational or similar setting.
+ Basic Life Support ( CPR /First Aid/ AED ) certification-training provided.
+ Certified SCUBA diver with fill station experience Familiarity with Port Orford, Southern coastal Oregon, and the surrounding community.
Working Conditions / Work Schedule
+ This position is based in an office environment at the Port Orford Field Station. It requires some weekend, evening, and early morning commitments, on-call responsibilities, and may involve working during emergencies, university closures, and holidays.
+ The position is based at the OSU Port Orford Field Station in Port Orford, Oregon, a rural community with limited services located in the tsunami hazard zone.
