The office of Academic Appointments and Compensation (AAC) is a comprehensive unit serving 31 academic departments and Dean's Office units. The School's clinicians provide clinical services through two practice groups, The University of Washington Physicians (UWP) and Children's University Medical Group (CUMG), which are separate, non-profit corporations. The school has numerous affiliations with other entities such as Seattle Children’s Hospital, the Fred Hutchinson Cancer Center and the Seattle Veteran's Administration. Appointments, promotions and other academic personnel actions for the School's faculty are managed within UW Medicine's Business and Operations Management. The Office of Academic Appointments and Compensation serves as the primary academic human resources facility for School of Medicine (SoM) department chairs, departmental administrators, SoM executive staff, and staff including those at UWP/CUMG and closely affiliated institutions. Faculty decisions are influenced on a daily basis by independent judgment, analysis, review and decision-making related to the interpretation and application of complex, multiple source policies and procedures. SoM departments rely on AAC for the navigation of specialized knowledge in the full lifecycle of faculty affairs. If specialized knowledge of policies and procedures of the University, School, UWP/CUMG and closely affiliated institutions is not provided, including appointment, promotion, salary issues and compliance regulations, a significant negative impact on the School, University, UWP/CUMG, affiliated institutions and the clinical services provided at UW Medicine and other approved sites of practice. AAC has an outstanding opportunity for an Academic HR Manager, Leaves and Accommodations (Academic HR Manager), reporting to the Manager, Academic Appointments and Compensation. The Academic HR Manager will be primarily responsible for supporting the Academic Appointments and Compensation Shared Environment team in faculty leaves, accommodations, roster percent changes, sabbaticals, retirements and supporting work in the Shared Environment for the UW Medicine Primary Care (UWMPC) AHR activities. The Academic HR Manager will act as a trusted advisor to Department Chairs, Vice Chairs, administrators, and AAC colleagues —steering them toward best practices. This individual will anticipate and manage time-sensitive academic HR lifecycle events—ensuring timely, accurate, and mission-aligned outcomes that serve Principal Investigators (PIs), divisions, Chairs, administrative partners, and the broader University. This position will improve internal business practices through continuous process improvement. The Academic HR Manager is a key member of the School of Medicine Academic Appointments and Compensation Shared Environment team, providing comprehensive Academic Human Resources (AHR) support to School of Medicine departments and primary care clinics. This position partners with institutional HR offices and acts as a liaison between departments and institutional HR offices. The ideal candidate is detail-oriented, collaborative, customer service focused and adaptable, with the ability to navigate complex HR systems and processes in an academic healthcare environment. **DUTIES AND RESPONSIBILITIES** **Academic Affairs, Faculty Leaves & Accommodations (70%)** + Administer all faculty leave types, including paid family medical leave (PFML), leave without pay, FMLA medical leaves, sabbaticals, etc., while ensuring compliance with University, School of Medicine, and regulatory policies. + Oversee and manage reduced responsibility, and roster percentage changes, ensuring compliance with University, School of Medicine, and regulatory policies. + Coordinate and manage faculty workplace accommodations in partnership with the Disability Services Office, Campus HR, and departmental leadership; ensure timely implementation of approved accommodations, maintain confidentiality, and provide ongoing support to faculty and supervisors throughout the process. + Provide support and guidance for faculty who are retiring. + Serve as the initial contact for faculty, department leadership, and clinic administrators regarding procedures, timelines, documentation, and reintegration. + Correspond directly with faculty via email, Zoom, or phone to discuss leave requests, clarify requirements, and provide guidance on appropriate next steps in the process. + Partner with the departments and the UW Medicine Primary Care clinics to integrate compensation, HR processes, and departmental policies into leave administration. + Interpret and apply organizational guidelines, rules, and policies related to School of Medicine faculty. + Prepare and process timely compensation adjustments in Workday and UWP/CUMG payroll systems (CTMs). maintaining confidentiality and accurate records. + Coordinate with faculty member and department finance teams if overpayment or underpayments occur due to leave-related absences. + Collaborate with institutional partners (Campus HR, OAP, Disability Services Office, UW HR, Payroll, Employee Workday Help, Policy Personnel Unit, etc.) to resolve matters and to seek guidance. + Create, analyze, and maintain reports related to leave activity; track missing or incomplete documentation and follow up as needed. + Participate in process improvement initiatives, including development and delivery of training related to leave and accommodations. + Act as a liaison between the Shared Environment team, central HR offices, and departmental leadership to address HR-related issues and ensure alignment with institutional policies. + Partner with departmental fiscal and operations managers, administrative staff, and the Dean’s Office (AAC) to ensure smooth HR operations. + Provide guidance on policy interpretation, process steps, and best practices. + Stay current on policy changes, procedural updates, and compliance requirements through regular engagement with institutional partners. + Work effectively in a dynamic and changing environment, demonstrating flexibility, adaptability, and openness to taking on additional roles and responsibilities as organizational needs evolve within the SoM Shared Environment + Maintain accurate faculty records in Workday, CTM, and related HR systems. + Generate and analyze reports on leave activity, and evaluation completion. + Ensure data integrity, confidentiality, and compliance with institutional and legal requirements. **AHR Support – Departments and UWMPC – 20%** + Assist with onboarding, including I-9 verification, back up coverage for credentialing coordination, and orientation activities in partnership with School of Medicine departments. + Provide backup coverage for Workday and CTM related processes relating to faculty compensation changes. + Support completion of annual faculty evaluations (360 reviews, peer clinical evaluations, etc.). + Support faculty promotion process in coordination with Faculty Affairs Manager and departmental AHR staff. + Support the offboarding process for providers for faculty who are separating. + Support the UWMPC Shared Inbox providing support and a shared schedule with the team. + Provide backup coverage for the UWMPC Faculty Affairs Manager. **Other Related Duties – 10%** + Perform other duties or projects as required or assigned. + Provide high-level administrative support across a range of departmental initiatives, special projects, and day-to-day operations. Proactively assess faculty and organizational needs to deliver timely, effective solutions. + Draft, review, and edit communications and documents with a high degree of clarity, accuracy, and professionalism. Demonstrate exceptional verbal and written communication skills across all levels of the organization. + Maintain a professional and customer-focused demeanor in all interactions. Foster strong working relationships with faculty, staff, senior administrators, and external stakeholders, exercising diplomacy, discretion, and cultural sensitivity. + Manage confidential and sensitive information with integrity and confidentiality. Exercise sound judgment in independent decision-making to enhance organizational efficiency and effectiveness. + Demonstrate strong organizational skills, with the ability to plan, prioritize, and manage a high volume of tasks under tight deadlines and changing priorities. Adapt quickly to shifting responsibilities while maintaining attention to detail and accuracy. + Utilize and maintain proficiency in a range of software platforms, including Microsoft Outlook, Word, Excel, PowerPoint, Interfolio, Workday, and Asana. Communicate and collaborate effectively using Microsoft Teams, Outlook, Zoom, and other tools. + Contribute to the success of the AHR Shared Environment, AAC and UWMPC activities collaborative project work, staff training, ongoing professional development, and participation in departmental meetings and activities. + Support workload coordination and priority-setting across projects. Identify trends, address discrepancies, and implement process improvements to ensure high-quality administrative operations. + Demonstrate strong analytical and critical thinking skills, including the ability to define problems, collect and analyze data, and present actionable insights and solutions. + This position operates in a collaborative academic healthcare setting and requires adaptability, initiative, and a commitment to service excellence. **MINIMUM REQUIREMENTS:** Bachelor's Degree in Business Administration, Human Resources, Communications and/or related field, and at least three years of experience that shows increasing responsibility in administrative roles and experience, or experience working in a University or academic healthcare organization or medical administrative setting that shows increasing responsibility in administrative roles and experience. _Equivalent education and/or experience will substitute for minimum requirements and qualifications._ **DESIRED QUALIFICATIONS:** + Working knowledge or experience with leave and accommodation related administration, as well as local, state and federal laws pertaining to leaves and accommodation. + Ability to interpret and apply complex state or public agency policies and procedures. + Possesses a fluent understanding of and experience in and commitment to inclusive language, accessibility and diversity, equity, and inclusion considerations.
