This position reports directly to the Training Manager and will assist with the Agency Training program. In addition, this position also assists with the Leave & Attendance, Payroll, and Personnel File sections.
Learning Management System (LMS) - Manage all aspects of the Training LMS in People First with duties including but not limited to:
Entering class data - adding classes to be offered quarterly; recording attendance and completions; monitoring registrations; tracking mandatory training; etc.
Transitioning other division/bureau trainings to the LMS – assisting other training units wishing to use the LMS to offer their classes; setting them up in the system; converting any PPT trainings to be SCORM compliant using Articulate.
Revising any of HR Training’s online classes – making updates and revisions to any of our online courses.
Trouble-shooting all LMS technical issues – conducting independent research; and/or using People First as a resource.
HR Training Classes/Programs – Assist in the coordination of class offerings including but not limited to:
Posting quarterly class offerings in LMS; monitoring registrations; securing room locations; preparing class materials; room arrangement; computer/presentation and video conference setup; class reminders; etc.
Communicating with managers, presenters (trainers), and guest speakers on any training needs, revisions, etc.; and occasionally introducing and facilitating guest speaker classes.
Monitoring and trouble-shooting all video conferencing.
HR Training Records – Oversee and manage all employee training records and reports housed in the LMS including but not limited to:
Recording all class completions; tracking completion of mandatory trainings; processing paperwork of those completing the AHCA Academy Supervisory and the AHCA Academy Prep training programs; etc.
Ensuring accuracy of training records.
Producing reports as needed/requested by the Chief of HR and/or the Training Director.
Conduct Training Classes – Conduct or take the lead in certain HR Training classes as assigned by the Training Director including but not limited to:
Welcome Session – coordinating and leading this weekly class for new hires; reviewing general information on payroll, benefits, retirement, Agency policies/procedures, new employee required training; completing required HR forms; maintaining a current Orientation Guide for Employees handbook; etc.
New Employee Orientation (NEO) – coordinating and facilitating all aspects of this once-a-month, day long class for new hires; preparing all class setup details; working with presenters from other divisions/bureaus on any revisions; presenting certain HR sections as assigned by the Training Director; overseeing smoothness of class; etc.
Additional training classes – as available and appropriate, learning and/or developing content to conduct various training classes as assigned by the Training Director.
Special Agency Programs and Events – Coordinate and/or assist in various agency-wide events including but not limited to:
State Tuition Waiver Program – managing this State of Florida program possibly waiving certain tuition fees for eligible CS, SES, and SMS employees attending a college/university.
Blood Drives and Flu Clinics – coordinating quarterly blood drives and an annual flu clinic onsite at Headquarters (HQ).
Employee Service Awards – assisting the Training Director with this annual recognition awards event.
Prepare correspondence and respond to telephone inquiries. Uses Microsoft Office programs (Word, Excel etc.) to input and procure data in a timely and accurate manner.
Responsible for ensuring all hard and electronic copy of personnel files are complete and electronically scanned in the appropriate file locations inside the election filing system (Laserfische). Responsible for timely pulling, scanning, archiving, all electronic personnel and criminal history background screening files in accordance with agency policies and procedures and the Department of State.
Assists with leave audits on all employees that are transferring, separating, retiring, entering DROP, LWOP and other requests as needed. Process and update leave balances when necessary, Process employment verification forms.
Prepare initial correspondence for Family Medical Leave Act (FMLA requests). Assist with leave reports to ensure that time and attendance is accurately recorded.
Performs Other Job-Related Duties as Assigned.
