What this job involves:
As an Assistant Facilities Manager within JLL Work Dynamics in Japan, you will be part of a growing team providing Facility Management and Office Services for an American multinational technology company which focuses on e-commerce, cloud computing, digital streaming, and artificial intelligence. Working closely with and reporting to the Site Manager, this role involves establishing and fostering strong relationships with key stakeholders in the area while acting as the Client's single point of contact in the region for strategy, implementation and escalation for capital works. You will spearhead Client's process for business approval in the region while managing site budget, spending and variance, and guide IFM team to ensure they deliver operations on time and in budget with required standards. This position requires you to be an advocate for Health and Safety best practice compliance with JLL and Client policy while supporting all Emergency related activities, directly contributing to JLL's mission of helping real estate owners, occupiers and investors achieve their business ambitions through excellent facilities management services.
What your day-to-day will look like:
Establish and foster strong relationships with key stakeholders while acting as Client's single point of contact for strategy implementation and escalationSpearhead Client's process for business approval in the region while communicating and driving compliance in data capture for reporting systemsManage site budget, spending and variance while working closely with Finance Manager to maintain data accuracy in finance areaGuide IFM team and ensure they deliver operation on time and in budget with required standards for site operation and data qualityPromote continuous quality monitoring and drive improvement on operation and documentation while ensuring best practices complianceSupport all Emergency related activities including training operations, support staff and contractors while monitoring their activitiesReport necessary updates on evacuation drill related activities to regional team while working with site FMs to conduct planned annual drillsCollaborate with Transaction team to manage real estate transactions including acquisition of leasehold in buildings while developing strategic portfolio planning.Required Qualifications:
At least 5 years of working experience in Facility Management with at least 3 years of relevant working experience in EHSProficient in MS Applications such as Excel, Word and PowerPoint with good IT skills for facility management systemsAbility to work well with key stakeholders and other departments/functions while possessing requisite technical skillsStrong communication skills both orally and in writing with ability to establish and maintain good relationships with colleaguesTeam player capabilities with ability to motivate and engage with colleagues while listening actively and providing positive influenceExperience managing teams with responsibility for safety, engagement and development including onboarding and mentoring team membersKnowledge of Health and Safety best practices with experience in emergency evacuation procedures and drill coordination.Preferred Qualifications:
Experience working with American multinational technology companies or similar corporate environments in JapanBackground in budget management and variance analysis with finance team collaboration experienceKnowledge of real estate transactions and strategic portfolio planning in Japanese marketExperience with JLL reporting and Business Intelligence Systems or similar facility management platformsUnderstanding of continuous quality monitoring and process improvement methodologies in facilities managementFamiliarity with regional and global project delivery coordination across multiple sites.Location: Onsite
