Main Duties
Administration
§ Ensures that an efficient and accurate filing system, both manually as well as electronically is maintained at all times.
§ Maintains complete and supported records of all Sales Agreements, Contracts and Quotations for the hotel.
§ Establishes an efficient trace File to ensure that all business booked is properly tracked.
§ Submits Sales report to Director of Sales & Marketing and Director of Sales in a timely manner.
§ Provides accurate reporting of business booked for monthly consolidation.
Customer Service
§ Entertains and conducts hotel inspections to clients whenever required and at hotel property.
§ Establishes and maintains strong relationship with established clientele and constantly explores into new business opportunities.
§ Liaises and works closely with the related operation departments ensuring guest's requests and expectations are being met.
§ Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems. If no immediate solution can be found, to ensure that the necessary follow-up is conducted in a timely manner.
§ Maintains positive guest and colleague interactions with good working relationships.
Operational
§ Ensures professional Sales Calls using Hyatt’s selling principles and selling philosophies.
§ Carefully plans Sales Calls into defined objectives and records into Envision.
§ Maintains a detailed knowledge of hotel facilities, features and services.
§ Systematically and efficiently calls on allocated Accounts within assigned sector and reports findings and opportunities to the Sales Manager and logs into Envision.
§ Follows up sales leads to identify prospects.
§ Ensures a high level of exposure for hotel through direct sales solicitation of telephone contact and written communications.
§ Professionally conducts routine telemarketing and sales activities to identify new accounts.
§ Entertains and conducts hotel inspections to clients whenever required.
§ Achieves the monthly and annual personal target and the segment target room night production and room revenue.
§ Liaises and works closely with the related operational departments ensuring guests requests and expectation are being met.
§ Assists to follow up on all matters in the absence of the Director of Sales.
§ Ensures services provided by the department are always available and carried out according to defined standards with the utmost efficiency, consistency and courtesy.
**Qualifications:**
Personnel
§ Ensures to maintain an updated awareness of Hotel product knowledge, current promotion, policy changes and appropriate internal communication.
§ Ensures high standards of personal presentation and grooming.
§ Attends training sessions and meetings as and when required. Attendsthe required Hyatt training programs.
§ Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.
§ Supports the action plans as a result of the Employee Opinion Survey.
