Job Description1. Main tasks and responsibilities (80%):
Works closely with Project Managers to coordination A-D samples from pre-order to invoicing phase:
Order Placement: Collecting customer’s requirement to create and proceed order to Sample shops worldwideOrder Status tracking: Collaborating with Sample Coordinator and Sample shops and Logistics to ensure On-Time Delivery of sample orders to customers; Timely updating of order information when changes (e.g. quantity, delivery date,..) occursDocumentation: Filling out customer documentation (e.g. delivery slip, quotation,..) based on customer’s existing template, relevant to the Sample Order Mangement ProcessReporting: Maintaining master sample delivery plan for team on a regular basis and Creating relevant reports according to request from Project managers/ related stakeholdersEscalation: Supporting Project managers with relevant information for internal order escalations (e.g. for shipment delay)Invoicing: Supports the Accounting departments with gathering information regarding sample orders for solving potential conflicts in the invoicing process ( e.g. get delivery proof, approved quotation from customer)2. Other responsibilities (20%):
